Disability Sport and Recreation Hawke’s Bay (DSRHB) recognises Te Tiriti o Waitangi as Aotearoa New Zealand’s founding document and is committed to actively engaging and promoting the five principles of Tino rangatiratanga, Equity, Active protection, Options and Partnership.
A committee secretary is not just the minute taker, they have good communication skills, can prioritise tasks and are familiar with DSRHB’s Constitution.
The role of the Secretary is to
- Set the meeting agenda in conjunction with Chair and Team Lead
- Send out reminder to board members of meeting day/time along with the agenda for each meeting a week in advance
- Records meeting minutes, draft minutes are circulated to Team Lead and/or Chair for review prior to distribution to Committee members within a week of meeting conclusion
- In conjunction with Chair ensures Committee is fulfilling its duties and completing any assigned actions from meetings
- Ensures all Committee Members have a current police vetting check
- Ensures Committee Member contact information is up to date
- In conjunction with Treasurer monitors Charities Register and Incorporated Society registers to ensure up to date with officers details
- Onboards new Committee Members using the induction process.
The estimated time commitment required as the Secretary of DSRHB is approximately four hours a month including attending committee meetings and DSRHB member events.
The Secretary is appointed for a two year term with right of extension upon review and as agreed by all committee members.

- Can allocate regular time periods to secretarial duties
- Keeps good records
- Works in a logical, orderly manner
